Poor office design is often responsible for loss of productivity apart from hurting employee morale. According to a survey, nearly thirty per cent people opt to leave their current jobs owing to the poor office environment and almost an equal number of prospective employees turn down a job offer largely because of a firm’s poor work environment.

The most common complaints from people working in badly designed offices are:

Noise – It affects their work efficiency.
Temperature - The offices is either too warm or too cold for comfort.
Insufficient space - The people commonly find their workspace cramped and constrained.
Uncomfortable furniture – Employees often are dissatisfied with the outdated office furniture.

Other common areas of complaint and irritation are poor ventilation and poor illumination. The ventilation system should provide quality indoor air. It should also provide the right levels of humidity and temperature. Importantly, it should be well maintained. A badly lit office may cause accidents resulting from shadows, glare, eyestrain and fatigue.

The idea of building a pleasant office environment is to create productive and conducive conditions for optimum output. A well-designed office layout improves staff morale and profitability whereas badly designed offices constrain employees. Getting rid of clutter and reorganizing the workspace will lead to a positive working environment.

Getting you first step into office right

A friendly atmosphere pervades most offices these days. In fact, most professional organisations understand the importance of making a newcomer feel right at home and everyone from the departmental heads to seniors consider it part of their job to help the new guy or gal learn his or her way around the office and feel a part of the team. The most common way to make a person feel home is with this question, ‘When are you treating us?’ This one treat can smooth the way to a great camaraderie at the workplace, enabling you to not only meet everyone you will work with but also generate goodwill from the word go.
No one expects a lot from this ‘treat‘. The word itself is so vague that it can mean anything from individual pen-holders to a box of mithai being passed around to a cake to a post-office hours drinking session. It is totally up to you. However, there are some rules-of-thumb that anyone should keep in mind when he wants to start off on the right foot.

Decide your budget?

Even when it comes to a box of mithai you must be sure of how much you are willing to spend, and then pick your mithai accordingly. Do you want to give this treat to the entire office or just your department? Must you keep some extra for second helpings or stick to a strict number? Will you be buying a Rs.300/kg sweet or a Rs.100/kg sweet? If you’re taking your colleagues out are you taking them out for drinks or just a simple meal or to that flashy new restaurant that has opened around the corner? The bigger the number of people the more it makes sense to make your gift as economical as possible. With a smaller team you can afford to be more generous and perhaps even give individual gifts.

Food

Distributing mithai is alright, but if you want your new colleagues to remember this treat more than the others, then gift them a jar of olive tapenade each or an imported cheese dip. Bring along a big box of crackers and you can all dig in together during a break. Some of your colleagues might find it unusual but at least it would stand apart from their long line-up of ‘treat memories’.

Office Stationery

No one can have enough of these and they can be very boring actually, but with a little thought and time on your hands you can get something sweet. Make a note of everyone’s names and get pen-holders or coffee mugs with their initials on them – they’re pretty inexpensive. Or pick them out in odd shapes and colours (April is International Frog Month so you could pick out some funny frog designs too). Pens are really very passé – you can never make them interesting, honestly! And steer clear of notepads – they’re of the use and throw variety so even if you hunt down some novelty notepads like ones with animal-print covers and funky add-in decorations, they will eventually be thrown away or maybe perhaps not even appreciated by your colleagues. Other interesting office stationery could be funny desk calendars or ornate paper cutters that stand apart from the usual that one sees in workplaces.

Non-Office Stationery Gifts

If you want to give them anything other than office stationery then re-think that decision for the moment. These are people you are not familiar with and more than likely you will be going wrong with your choice. So stick to something that would be useful for the office when you are thinking of giving individual gifts.

A newcomer who skips this treat usually finds himself to be a bit of an outsider of the team. So be sure to get it right. Your gift should not be ostentatious and try and pick something humorous or dead practical. Mithai is so common that people will take it for granted and forget about it. Making your gift unusual is a great way to ensure that your colleagues feel special right from the start.

Gone are the days when the employer could afford to take his employees for granted. A decent salary is passé and the Diwali bonus is their God-given right – you have to do more when you want to make your team feel special. Here are some tips on how you can notch up the office atmosphere from good to great and create greater goodwill amongst your team members:

The Mumbai air is still nippy so bring out that picnic hamper. The best solution is to get a huge one – and we mean a really huge one – and fill it to the brim with cold cuts, cold drinks, juice, sandwiches, and whatever else your team would go for. Make sure the food is non-messy, from the best brands and conveniently packaged. But be sure to select a small gift to give to all of them at the end of it. Perhaps Chinese feng shui coins or a unisex watch – something small and inexpensive. Make it more fun by throwing miscellaneous small gifts into a basket and asking them to take a lucky dip.

Just sealed a deal? Don’t forget your team – they are the ones who worked alongside you. Treat them! Scarves for the ladies, belts for the gentlemen. Buying each a different gift makes them realize that you put invested time and effort into making them feel special.

It pays to remember your employees’ birthdays. Have your secretary draw up a list of staff birthdays and keep the gifts ready.

You can also keep gifts and cards handy by stocking up on them. Belts, watches, scarves, desk clocks, pens, fancy folders and basic cards like happy birthday, congratulations and happy anniversary. If you keep a small fridge you can even stock up on health drinks like aloe vera juice and make an evening ritual of it with your team.

There are many imaginative ways to maintain an emotional bond with your employees. Figure out what works best for you and watch them become your loyalists for life, even if they have to move on!

Be alert and pick up on clues to what your colleague or immediate superior(s) want. Does your colleague like to read? Buy a small, portable magazine or book rack to keep beside his chair. They’re reasonably priced, easy to deliver, and for presentation purposes tie a satin bow around the handle. Casually mention that when you saw the rack you immediately thought of his love for reading and bought it on an impulse.

Has his clock stopped working? Browse through your online options and select the most appropriate one. Always be quick to offer to exchange it for him if he mentions it’s not the right size or the right colour.

Always keep hierarchy in mind – your colleague’s gift should be smaller than that of your immediate boss, but equally special. When it comes to gifting the head honcho, discreetly find out what your superior is giving him and select something that is not ostentatiously better. At no point should your colleagues feel that you are trying to upstage them.

The rule of thumb in any organisation is being non-threatening to those who are close to your superior(s) without appearing eager-to-please; you’ll just be named an ass-licker if you do.

Gifts, when chosen thoughtfully and presented intelligently, can go a long way in securing your position in the company. Teaming a great performance with an image of being thoughtful and caring – that’s mastering office politics!
